Your resume looks great. You paid for the template, or spent a weekend getting the layout just right, and every section sits exactly where you want it. Then the rejections pile up fast, sometimes within minutes, and you start to wonder whether anyone is seeing the document you worked so hard on.
Here is an uncomfortable possibility: if that layout was built with text boxes, parts of your resume may be invisible to the software that reads it first. Text boxes are the sneakiest formatting problem in resumes, precisely because everything looks perfect on your screen. This article explains what actually happens at extraction, how to check your own file in under a minute, and how to fix the problem without throwing away your design.
What is a text box, and why does it look so innocent?
In Word (and in most design tools), there are two kinds of text:
- Flow text: the normal text of the document. It starts at the top, wraps line by line, and continues down the page. When you press Enter, the next paragraph follows the last one.
- Floating text: text inside a text box, shape, or frame. It is anchored to a position on the page, but it lives in a separate layer, outside the main flow.
To your eye, they are identical. The words render in the same fonts, at the same sizes, in the same colors. That is exactly why this problem is so sneaky: there is no visual warning. The difference only exists in the file's internal structure, and the only "reader" that cares about internal structure is software.
Designer templates lean on text boxes heavily because they make pixel-perfect layouts easy. Sidebars, skill panels, headers with your name in a colored band, two-column contact blocks: all commonly built as floating boxes.
What happens to floating text at extraction
When you apply for a job, the applicant tracking system runs your file through a parser that extracts the text and maps it into fields: name, contact, work history, skills, education. (Here is the full picture of what an ATS reads.)
Parsers walk the main document flow from top to bottom. Floating objects are handled in one of three ways, and you do not get to choose which:
- Skipped entirely. Some extraction engines simply never visit the floating layer. Everything in the box vanishes. If your skills section lived in a sidebar text box, your parsed record has no skills.
- Extracted out of order. Other engines grab floating text but append it before or after the main flow, or in the order the boxes were created rather than the order they appear on the page. Your job titles can end up separated from their dates and bullet points, which wrecks how the ATS parses your work history.
- Extracted correctly. Sometimes it works. But you cannot know which parser a given employer runs, so "sometimes" is not a plan.
The cruel part: the failure is silent. No error message, no warning. The system accepts your application, stores a gutted version of your resume, and moves on. You just never hear back, and you never learn why.
The 60-second check for text boxes in your own resume
You do not need any special tools to find floating text:
- The click test. Open your resume in Word. Click on different sections of text. If a bordered frame with round handles appears around one block, that block is a text box.
- The select-all test. Press Ctrl+A (Cmd+A on Mac). Everything in the main flow highlights. Any text that stays unhighlighted is floating.
- The copy-paste test. Select all, copy, and paste into a plain-text editor like Notepad. Read the result top to bottom. Is anything missing? Is anything in a bizarre order? That plain-text view is close to what a parser produces.
If your resume came from Canva or a similar design tool, assume text boxes until proven otherwise. Those tools build nearly everything as floating objects, and their PDF exports carry the same structure.
How to fix it without redesigning your resume
The good news: you almost never need to abandon the look you like. You need to move the words out of floating boxes and into the main flow, then recreate the visual structure with flow-safe formatting.
Here is the practical path:
- Rescue the content first. Copy the text out of every box into a fresh, blank document, in the order it should be read: contact info, summary, experience, education, skills. Get the words safe before touching the design.
- Rebuild structure with paragraphs and headings. Section titles become normal heading lines. Your name becomes a large first line, not a banner object.
- Replace side-by-side boxes with safe alternatives. A two-column look is the most common reason people used boxes in the first place. Tab stops can put dates on the right side of a line without any floating object. If you are tempted by real columns or tables, read do resume tables and columns break ATS first; they carry their own risks.
- Keep decoration decorative. Horizontal divider lines, a touch of color on headings, generous white space: all of this parses fine because parsers ignore pure decoration. The rule is simple: no words may live inside a graphic object.
- Check icons. An envelope icon next to your written-out email address is fine. An envelope icon instead of the word "Email" is information that exists only as a picture, which parsers cannot read.
Expect this to take under an hour for most resumes. That is a fair trade for knowing every application actually delivers your whole story.
What about shapes, lines, and graphics without text?
Not everything drawn on the page is a problem. A quick triage:
- Divider lines and rules: harmless. Ignored by parsers, helpful to humans.
- Background shading and colored bands: harmless to parsing, as long as the text on top of them is real text with decent contrast.
- Shapes with words inside (a circle with "10+ years" in it, a ribbon with "Certified"): same failure mode as text boxes. Move the words into the flow.
- Skill bars, star ratings, charts: invisible to parsers, and honestly not very informative to humans either. Write the skill as a word instead. More on this in can ATS read graphics, icons, and skill bars.
- Your name as WordArt or a logo image: high risk. If your own name is a picture, the single most important field on the resume may parse as blank.
Why "it looked fine as a PDF" does not save you
A common hope: "I exported to PDF, so the layout is locked in and the boxes do not matter." Unfortunately, PDF export preserves the structure problem rather than fixing it. A PDF made from a text-box layout stores those boxes as separately positioned text runs, and PDF text extraction has to guess the reading order from coordinates on the page. Multi-column, box-heavy PDFs are exactly where that guessing goes wrong.
The file format is not the villain here; the floating layout is. A clean single-flow document parses well as PDF or as Word.
